
All application materials listed below must be turned in at one time to the International Education Center (IEC). Incomplete applications will not be accepted. You must meet the UST deadline: March 15 for summer or fall semester programs; October 1 for spring [or earlier if your program deadline is earlier]. Late applications will not be accepted.
PART A - Required UST Application Materials
1. Off-Campus Study Application - Attach two passport-sized photos.
2. Graduate Course Approval Record - Complete this form and review it along with complete course descriptions with the Associate Dean for Academic Affairs [Dean Jerome Organ; (651) 962-4919; jmorgan@sthtomas.edu]. This form is where the Dean records approval for your program choice and course equivalents from abroad are determined for your St. Thomas degree.
3. Study Abroad Program Agreement - Complete and sign this form; keep one copy for your records.
4. Consortium Agreement – This form is mandated by federal regulations concerning your student status at your home institution and your ‘host’ institution for the purposes of financial aid and billing.
ONLY IF REQUIRED BY YOUR PROGRAM:
5. Faculty Recommendation - Required only if 1) your program or university abroad requires them; and/or 2) you are going to a program on which you will take (subject) courses in a foreign language. Each program will have different requirements. Please use the UST form only if the program does not supply any. Completed forms must be returned to you in a signed/sealed envelope. You then submit them to the IEC with your application.
6. UST Transcript – Obtain an official transcript only if required by your program. Complete the attached Request for Transcript(s) form and send to the Registrar (106 Aquinas). Your transcript will be sent directly to the IEC at no charge. IEC will, in turn, send along with your application to the program.
7. Letter of Good Standing – If your program requests that you submit a ‘Letter of Good Standing’, you may contact Scott Swanson, Director of Academic Achievement to obtain one. Contact info: sgswanson@stthomas.edu; Tel. (651) 962.4857
PART B – Completed Program Application
Submit to IEC all materials required by your program. If you submit your application less than seven days prior to the program deadline, the IEC cannot guarantee that it will arrive to the program in time. However, you may expedite the mailing time by including a $12.45 check or money order to “UST” (IEC does not accept cash) for your approved application to be sent by the IEC via U.S. Express Mail. This, however, does not guarantee that your application will be mailed in time to meet the program deadline as it takes several days to complete the UST approval process.
PART C - Review of your application
Your completed application will be reviewed for approval (see Policies and Procedures) by IEC staff in consultation with your graduate program director. Once approved, IEC will mail your application to your program and notify you by mail.
IMPORTANT: International Education will use your UST e-mail as a means to communicate important information and announcements while you are applying and preparing to study abroad.
