Reserve Procedures and Guideines for Faculty

Reserve Procedures for Faculty

  • See our decision tree to determine whether to place items on reserve or link directly in Blackboard
  • To place items on either traditional or "electronic" reserve, bring them to the desk at the desired library
  • Fill out a reserve request form for each course,  See forms by library below
  • For photocopied materials, fill out a copyright compliance certification. See below

Forms to Place Items on Reserve

Please select and complete the Reserve Request form for the location at which your course materials will be located. Forms are also available at each reserve desk. Contact your Reserves Coordinator if you need help.

Photocopied articles must be accompanied by a completed Copyright Compliance Certification Form (PDF), in which you certify that you have obtained any necessary permissions.

Basic information regarding "Fair Use" and the "Agreement on Guidelines for Classroom Copying" are available at reserve desks, or from library reserves coordinators.  For more information, see the UST Copyright site.

Processing Time

  • Most reserve materials are time sensitive
  • Items processed in order received and made available ASAP.
  • Allow at least 2 weeks before students need access for processing requests
  • Late requests may mean students cannot get timely access to required readings.

Journal Articles

Copyright guidelines adopted by libraries apply especially to photocopied materials, restricting the number, kind, and length of time photocopies are kept on reserve. Photocopies will not be accepted without a copyright compliance certification form (see forms above). Articles can usually be on reserve for only one semester, unless prior permission from the copyright holder has been obtained.

When bringing articles to place on reserve, please include the copyright information printed at the beginning of the article or the publication.  Also include your preferred and complete citation to assist students when looking up the item.

For electronic scanning: readable copies without black edges or staples are best. Your preferred and complete citation should be noted or added to the reserve form.

Books

Most books from the UST Libraries general collections can be placed on reserve.  Books from a non-circulating collection and from other schools cannot ordinarily be put on reserve. You may bring in a personal copy or send a purchase request through your library liaison (Plan well ahead as acquiring a book takes time!).

Return Policy

  • All photocopied articles will be removed from reserves at the end of each semester. They cannot be "rolled over."
  • If you wish to keep library books or your own personal books on reserve, call the reserve desk to arrange before the end of the semester

Seeking Permissions

For permissions guidelines, visit the Copyright Clearance Center. You can browse their "Database of Works" for information about publishers. You may also be able to get assist from your department. Obtaining copyright clearance can be complex and time consuming. Responsibility for compliance rests with the faculty member.
