Reserve Procedures and Guideines for Faculty

Course Reserves

Procedures for Faculty

  • To put items on either traditional reserve or "electronic" reserve, have them brought to the reserves desk at the respective libraries.
  • For each course, fill out a reserve request form. See forms
  • For photocopied materials, fill out a copyright compliance certification. See below.

Forms to Place Items on Reserve

The Reserves Request and Copyright Compliance forms are available online above (PDF) or at the reserve desks of respective libraries. Contact your Reserves Coordinator if you need help.

Basic information regarding "Fair Use" and the "Agreement on Guidelines for Classroom Copying" are available at reserve desks, or from library reserves coordinators.

Processing Time

Most reserve materials time sensitive. Items are processed in order received and are made available as soon as possible. Faculty are requested to have material in at least 2 weeks before students will begin requesting them. Late requests may mean students cannot get timely access to required readings.

Journal Articles

Copyright guidelines adopted by libraries apply especially to photocopied materials, restricting the number, kind, and length of time photocopies are kept on reserve. Photocopies will not be accepted without a copyright compliance certification form (see Forms to Place Items on Reserve above). Articles can Usually be on reserve for only one semester, unless prior permission from the copyright holder has been obtained.

When bringing articles to place on reserve, please include the copyright information printed at the beginning of the article or the publication.  Also include your preferred and complete citation to assist students when looking up the item.

For electronic scanning. readable copies without black edges or staples are best. Your preferred and complete citation should be noted or added to the reserve form. Please include any copyright information as printed in the publication.

Books

Most books from the UST Libraries general collections can be placed on reserve.  Books from a non-circulating collection and from other schools cannot ordinarily be put on reserve. You may bring in a personal copy or send a purchase request through your library liaison (Plan well ahead as acquiring a book can take time!).

Return Policy

At the end of each semester, all photocopied articles need to be removed from reserves. They cannot be "rolled over."

If you wish to keep library books or your own personal books on reserve, call the reserve desks before the anticipated withdrawal date (usually the end of each semester).

Seeking Permissions

For permissions guidelines, visit the Copyright Clearance Center. You can browse their "Database of Works" for information about publishers. You may also be able to get assist from your department. Obtaining copyright clearance can be complex and time consuming. Responsibility for compliance rests with the faculty member.
