Registration:
Researchers are required to complete a registration form and provide identification if requested. At the discretion of the Director of Special Collections, researchers may be asked to provide a letter of introduction from a sponsoring individual or institution in order to obtain access to some materials. Researchers intending a prolonged visit to the Department should inform the staff of the department in advance of their arrival, noting which collections they wish to consult.
Use restrictions:
The use of certain manuscripts and volumes may be restricted by statute, office of origin, or by the donors. It is the responsibility of the researcher to fulfill the terms specified for the use of these materials. For the protection of the Collection, the University also reserves the right to restrict the use of materials which have not been fully processed and materials of exceptional value, rarity, and fragilty. Materials may not be removed from the Special Collections Department without permission. Materials do not circulate.
Reproduction and publication of materials:
Materials may be photoduplicated in accordance with the policies and procedures of the Special Collections Department. The Department may set reasonable restrictions to protect fragile or damaged materials. No more than ten percent of any archive or manuscript collection may be photoduplicated for a researcher. Cameras,scanners, and other photographic recording equipment may be used only with the permission of the Director of Special Collections.
Permission from the Department must be obtained in writing before unpublished materials (manuscripts, diaries, documents, etc.) from the collections may be published. In granting permission to publish, the University does not surrender its rights to publish such material or grant permission to others to do so. The researcher assumes full responsibility for the use of the material obtained from Special Collections and must ensure conformity to the laws of defamation, privacy and copyright and shall indemnify and hold harmless the University of St. Thomas from any claims arising as a result of his or her use of the materials so obtained. Where the donors have retained literary rights to the materials, the researcher must obtain permission from them before publication of any such material. If permission to publish is granted, ownership of the material must be acknowledged in the work, and a complimentary copy presented to the University of St. Thomas.
