Music Resource Center Circulation Policies

Patrons/IDs | Scores | Recordings | Reserves | Playback equipment

1. All patrons must present a valid St. Thomas (or CLIC school) ID in order to check out any materials, including Reserve materials.

"Valid" means that CLICnet accepts the ID after being scanned. This includes all UST and CLIC Faculty/Staff, UST and CLIC Undergraduate Students, UST and CLIC Graduate Students, and UST Friends of the Library.

  • **Friends of the Library**, i.e., UST alumni or neighbors, request their library card from the Circulation Desk at the O?Shaughnessy-Frey Library Center, on North Campus. Ireland Library Friends (religious orders, parish teachers, etc.) are restricted to Ireland.
  • NO MATERIALS MAY LEAVE THE MRC WITHOUT BEING CORRECTLY CHECKED OUT. This includes patrons who "just need this for a minute in a room down the hall." Everyone must present an ID to check out the material.
  • Patrons from the following CLIC schools with a valid ID, i.e., one that is accepted by CLICnet, may check out only scores and reserve materials: Augsburg College, Bethel College, Bethel Seminary, College of St. Catherine, Concordia University (St. Paul), Hamline University, Hamline Law, Macalester College, Northwestern College.
  • Patrons who do not have their IDs with them may not check out materials. If they do not have an ID they need to get one at the Card Office (Murray-Herrick rm. 259; x2-6069). Staff will hold materials at the desk until patron returns with a valid card.
  • Patrons whose IDs are not valid when scanned by CLICnet need to be referred either to the **MRC supervisor** or possibly, depending on the type of problem, to the circulation staff at either Ireland or O'Shaughnessy-Frey Library.
  • All holds will stay at the desk for 24 hours, unless otherwise indicated.

2. Circulation of scores 

  • Anyone with a valid ID may check out a score.
  • CHECKOUT PERIODS: Checkout periods are as follows:
    • UST and CLIC students, UST Friends: 6 weeks 
    • UST and CLIC faculty and staff: until the end of the semester or summer

There is no limit on the number of scores valid patrons may check out, except UST "Friends," which are limited to 5 items at any given time. Scores may be recalled after two weeks if needed by another patron.

3. Circulation of sound recordings (CDs, LPs, cassette tapes, laser discs) and video recordings

  • Any UST faculty, staff and student with a valid ID may check out sound and video recordings.
  • CHECKOUT PERIODS: Checkout periods for sound and video recordings are as follows:
    • UST students: 1 week, with a 5-item limit
    • UST faculty and staff: 4 weeks

Recordings and videos may be recalled after two weeks if needed by another patron.

4. Circulation of Reserve Materials

  • RESERVE MATERIALS ARE NOT ALLOWED TO LEAVE THE MRC. However, a faculty member may take items from reserve to demonstrate them in class. The faculty member should take these only immediately before the class and should return them immediately after the class is over. All other patrons must use the items in the room.
  • All patrons, including faculty, must present a valid ID in order to check out Reserve Materials. All reserve materials must be properly checked-out on CLICnet. In addition, ALL PATRONS MUST LEAVE THEIR ID AT THE DESK UNTIL THEY RETURN ALL OF THEIR RESERVE MATERIALS.
  • TIME LIMITS: if no one else is waiting to use the item, there generally is no time limit on length of use. However, if another patron needs an item that is in use, the first patron may use the item for 30 minutes, and then must turn it in so the waiting patron may use it.

5. Use of playback equipment

  • Anyone may use the playback equipment. However, patrons must leave an ID, driver's license, or car keys at the desk in order to check out headphones.
  • MACINTOSH COMPUTER AND FINALE SOFTWARE: Music students may use the Mac and Finale. However, if they want to use the manuals, CD-ROMs, or headphones, they must leave an ID at the desk.
  • TIME LIMITS: If no one is waiting to use the equipment, there is no time limit on length of use. However, if another patron needs equipment that is in use, the first patron may use it for 30 minutes, and then must leave so the waiting patron may use it.
