Voicemail Options

Managing Voicemail Options

There are a variety of voicemail features available once you have entered your voice mail box.  Instructions on how to use each of these features are included below:

To access your Personal Options  in your voice mailbox follow the instructions below:

1. Enter your mailbox

2. Press to Manage Personal Options

Select from the following Personal Options:

Your Current Status
Managing your Personal Prompts
Administrative Options
Managing Recently Deleted Items

Status



Your status is announced when a person listens to your outgoing voicemail message. The default status is active. The following status options are available: 

  Available 

  At Lunch * 

  Away from Desk 

  Do Not Disturb 

  Gone Home 

  In a Meeting * 

  On Vacation 

  Out of the Office * 

  Out of Town * 

 Working at Home 

 * The options marked with an * also have the additional feature(s) of being able to set the date and/or time of when you will return.

For example, if you are In a Meeting until 2 pm you can select status number 6, you will then be prompted as to whether you would like to set a return time for this option by pressing  then entering the time you will return or you skipping this option by pressing .

Managing your Personal Prompts



1. Enter your mailbox

2. Press to Manage Personal Options

3. Press to Manage your Personal Prompts

4. Select one of the following options:

    • Press  to record your voicemail greeting
    • Press  to hear to your voicemail Greeting
    • Press  to record your name
    • Press  to review your name
    • Press  to activate or deactivate your voicemail greeting (Note: if you deactivate your greeting the system default message will play in place of your personal greeting).

Administrative Options



Your administrative options include personal groups, changing your passcode, managing your playback options and notification options.  For NON-Unified VM, recently deleted messages may be retrieved.  Note that all voicemail boxes are routinely emptied of deleted messages each night.  To access your Administrative Options:

1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Select one of the following Options:

Personal Groups  
The voicemail system allows you to create a group of people who you can call and send a message to (similar to a distribution list for your email). 

1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Select for Personal Groups

    • Press  to review a Personal Group
    • Press  to create a new Personal Group 
    • Press  to delete a Personal Group

Reviewing a Personal Group
When you select the option to review a personal group the system will list the groups in order numerically.  Press the number indicated by the voicemail system to hear the members in your group.

    • Press  to add members to the group
    • Press  to remove members from the group
    • Press  to return to the previous menu

Creating a New Personal Group
When you select the option to create a new personal group you will be asked to name the group enter a 2- digit number (this will be the name of your group)

Enter the extension of the first person in the group then press the (#) key repeat this step for each person in the group.

When you have finished adding members to your personal group press the (#) key you should then recieve a message that your group has been created

Deleting a Personal Group
When you select the option to delete a personal group you will be promted to select a group to delete.   Press the number indicated by the voicemail system for the group you would like to delete.  You will receive a confirmation that the group has been deleted

Changing your Passcode


1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Select  to Change your Passcode

Enter your new passcode followed by the (#) sign. For verification you will be prompted to re-enter your passcode followed by the (#) sign.

MANAGING YOUR PLAYBACK OPTIONS


1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Press  to Manage Playback Options

5.  Select one of the following playback options:

Verbose Playback 
Verbose playback announces the time and date when messages are received.

1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Press  to Manage Playback Options

5.  Press  for Verbose Playback

    • Press  to set Verbose Playback mode (time and date of message)
    • Press  to set Brief Playback mode (no time and date)

Message Sorting 
This feature allows you to select the way your voice messages are played back to you. 

1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Press  to Manage Playback Options

5.  Press for Message Sorting

    • Press to play the oldest messages first
    • Press to play the newest messages first

Priority Message Playback 
When this feature is activated it plays messages that have a high priority before other messages.

1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Press  to Manage Playback Options

5.  Press for Priority Message Playback
(play high priority messages before other messages)

          • Press to Activate Priority Message Playback
          • Press to Deactivate to Priority Message Playback

Mailbox Confirmation 
Mailbox confirmation announces the name and status of the mailbox owner when you check your voicemail.

1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Press  to Manage Playback Options

5.  Press for Mailbox Confirmation

    • Press to Activate Mailbox Confirmation
    • Press to Deactivate Mailbox Confirmation

Status Confirmation 
Status Confirmation announces the name and status of the mailbox owner when others leave messages prior to the greeting being played.

1.  Enter your mailbox

2.  Press to Manage Personal Options

3.  Press  for Administrative Options

4.  Press  to Manage Playback Options

5.  Press for Status Confirmation

          • Press to Activate Status Confirmation
          • Press to Deactivate Status Confirmation

Managing Recently Deleted Messages

 

1.  Enter your mailbox

2.  Press  to Manage Personal Options

3.  Press  to Manage your Recently Deleted Messages

  • To Listen to Deleted Messages Press   
    This options will play back all of your deleted messages since 2 am that day.  (Note:  If you choose to delete the message after listening to it the deletion is permanent). If you would like to save a deleted message press after listening to it.
  • To Restore all Messages Press
  • To Erase all Messages Press
