Helpful information about what you need to know before, during, and after the migration to Office2007


General Questions

How do I get my shortcuts back?

The migration process will remove any Office2003 shortcuts on your desktop or "quick launch" toolbar.

These shortcuts may be re-created in a variety of methods, but this is probably the easiest way to add the shortcuts back to your desktop and "quick lauch" toolbar.

  • Click “Start”, choose “run”.
  • In the “Open:” field, enter C:, hit “OK”,
  • Double click the “Program Files” folder,
  • Click the “show the contents of this folder” link,
  • Double click the “Microsoft Office” folder,
  • Double Click the “Office 12” folder,
  • Locate the “.exe” file for each of the Office applications for which you would like to have a shortcut,
         Excel = EXCEL.EXE
         Word = WINWORD.EXE
         PowerPoint = POWERPNT.EXE
         Outlook = OUTLOOK.EXE
  • Right click the program icon, choose “Create Shortcut”,
  • Locate the newly created shortcut, right click and choose “cut”,
  • Return to your desktop, right click on an empty space, choose “paste”,
  • Once the icons are on your desktop, click and drag them to the quick launch toolbar.

You may need to re-size the quick launch bar after the icons have been added.

  • Right click on the taskbar,
  • Uncheck “Lock the taskbar”,
  • Adjust the border of the quick launch by by clicking on it and dragging to the right,
  • Right click on the taskbar again,
  • Check “Lock the taskbar”.

Outlook

Do I need to make any special preparations before migrating to Office2007?

Yes, it is helpful to note and record basic email settings, like the location of any email archive files (.pst), secondary mailboxes, and what signatures you may have stored in Outlook, before the migration occurs in your area.

Once the migration occurs, any Outlook settings that had been stored on your PC will be lost.  Signatures and archive files can quickly be re-mapped to Outlook2007 if you or your IRT Tech know where to look.

Font styles, colors, and spell check options will need to be re-created once the migration has occurred.

How can I re-add a secondary mailbox?

  • Open Outlook Go to “Tools”, then “Account Settings”.
  • Click the “email” tab, select the “Microsoft exchange” account, click the “change” button.
  • Click the “More Settings” button.
  • Click on the “Advanced” tab.
  • Click on the “Add” button.
  • Enter the name of the mailbox you wish to add, click “OK”.
  • Click “OK", then “Next”, then “Finish” buttons.
  • New mailbox will appear in outlook folder list.  You will only be able to expand or open the box if permission have been properly set to allow you to do so.

      How do I check the locations of my email archive files before migrating to Office2007?

      • Open Outlook,
      • Click on the "File" menu, choose "data file management"
      • Any previously existing archive mappings will appear in the box, and their locations can be found by adjusting the width of the "filename" field so that the full pathway is visible.

      How can I re-add my signature files?

      • Launch Outlook,
      • Click on the “Tools” menu, choose “Options”,
      • Click the “Mail Format” tab,
      • Click the “Signatures” button,
      • From the drop down list next to “New messages”, choose the signature you wish to include on all new outgoing messages.  Leave blank if you do not wish to include a signature.
      • From the drop down list next to “Replies/forwards”, choose the signature you wish to include on all replies or forwarded messages.  Leave blank if you do not wish to include a signature.
      • Click “OK”,
      • Click “OK” again.

      How can I re-add my email archive files?

      1. Launch Outlook,
      2. Click on the "File" menu, choose "data file management",


      3. Click the "Add" button,


      4. Select "Office Outlook Personal Folder File", click "OK" (Outlook will then look for ".pst" files in the default location),


         
      5. Select any ".pst" files that appear and click "OK",



        Note:  Please repeat steps #3-5 for each archive file that you wish to re-add.

      6. Click "OK" again



      7. Click the "Close" button to exit back to Outlook.

      Word

      How can I change the default font or line spacing of a new Office2007 document?

      The default font for Office2007 documents is 12 pt. Calibri.  But, you may choose a different font, and save that as the default for all new documents.

      • In the "Font" group field, click on the "More Options" button,

      • In the box that opens, choose the font and size you would like to be the default, and then click the "Default" button at the bottom of the window,

      • Click "yes" to the warning if you want to proceed with changing the default font.

      You may also follow the same process for changing line spacing, alignment, default tabs, and indentations by choosing the "More Options" button in the "Paragraph" group.

      How can I add items to the Quick Access Toolbar?

      Office2007 will start with icons for "save", "undo" and "redo" already added to the  Quick Access Toolbar.  You may add additional icons by click on the "down" arrow on the right of the toolbar, and then choosing from the commands listed.

       

      Additional commands may be accessed by choosing the "More Commands" option, which will provide the full list of all available options for the Quick Access Toolbar.

      To select these options, click on the command you want to add to the toolbar and then click the "Add>>" button.  Hit "Ok" to exit this window.
