Getting Started with Optix Workstation

GETTING STARTED WITH OPTIX CLIENT

 

Logging In to Optix

  1. To open Optix select “Start” > “Programs”> “Optix Document Management” > “Optix Workstation”.

  2. Enter your Optix user name and password and click “OK”.
    Note that the server address should always be image.stthomas.edu



  3. You should see a “Welcome to Optix message screen where you will select ‘OK’ and you are in Optix.

Changing your password

  1. From the Optix Home Page Select “Filesystem” > “Change Password”.
      The new password must be at least 6 characters long. 
     

Navigating in Optix

  1. To begin using Optix you will need to access the “Server Screen List”. The Server Screen List can be turned off and on with the “Screens” icon from the toolbar at the top of the desktop.

     

  2. Select the screen that you want to access by double clicking on the screen name.  The screen should open as a query screen.

Accessing workflow

  1. To access your work list (work that has been sent to you via workflow) choose the “Workflow” command from the tool bar.

  2. Select “Show My Worklist”

         

  • Work items appear in your work list in the order they are scanned.
  • The work items are in a “spread sheet” format table. You can manipulate the rows and columns as needed. For example: You can sort each column by clicking on the header. You can arrange the work list by dragging the column header right or left. 
  • To open a work item – double click on the record > click on the open button or use the “slip” button. 
  • Opening the document will first open the query/index screen where you can modify the record.

Adding or modifying records

  1. To add an electronic record or file, open the screen list and highlight the database that you want to use to store the record or file.

  2. Click on “Filesystem” > “Store File and Index”.



  3. The “Select a file or files to store” window will open. Browse through the folders until you find the file you want to add to Optix.  Select the item by double clicking on it. 




  4. The index screen will open. Index the item and select “Accept”. The item is now stored in the database.
