Important!  Remember!

All Collage assets that are uploaded, or for which changes have been made, such as web pages, image files, and PDF files, need to marked as “approved” before they will publish.

The Process

Think of page approval as a workflow process. Each step in the process corresponds to a specific work assignment that needs to be completed. This sequential series of steps make up the approval workflow process as follows:

1. Edit:  Content contributors make changes to existing pages or create new pages.
2. Review:  Content reviewers check pages for to ensure they are ready to go live.
3. Approve:  After review, content approvers flag the page as “approved”.
4. Publish:  Pages flagged as “approved” will be go live with the next server-publishing cycle.

Through the assignment of permissions to both content folders and individuals, roles and responsibilities for each step of the workflow process can be established. It is important for your site manager to work with your department’s web management staff to determine who will have permissions to edit, review, and approve your site content.

Reviewing Pages

Before publishing, assets need to be reviewed for accuracy and completeness, whether they are web pages, images, or PDF files. Assets can be reviewed directly in Collage itself by navigating to the appropriate page and using the Preview function to view the asset for content and accuracy.

Publishing Cycle

After review, pages must be marked as “approved” before they will be published (see our helpsheet on Approving Assets). Approved pages are pushed to the production server at the following times:

     Monday thru Friday:  10:00am   2:00pm   3:00am
