Outlook 2011 and Exchange Online Archive

Migrating your archived mail from the “On My Computer” section in Outlook 2011 to your Exchange Online Archive will require a 2-step process:

  1. From Outlook 2011, copy your archived messages from “On My Computer” to your Exchange mailbox.
  2. From Outlook Web App, archive your messages to Exchange Personal Archive.

Migrating content from “On My Computer” to your Exchange mailbox

CAUTION:  When moving a large amount of email from “On My Computer” to your Exchange mailbox, be very careful to not exceed your mailbox quota.  The “Progress” window in Outlook 2011 shows all current mail activity for your mailbox, including the progress of copy/move operations.  “Progress” can be found in the “Window” menu in the toolbar.

  

To copy an entire folder from “On My Computer” to your Exchange mailbox:

  1. Locate the folder you wish to copy.
  2. Click, drag, and drop the folder into your Exchange mailbox.  Be careful to drop it into the appropriate place.
  3. Check the Progress window to verify that your folder is copying to your Exchange mailbox.  You might need to wait several seconds before any activity appears in the Progress window. 
    Depending on the size of the folder, you might want to check how much space is remaining in your mailbox before copying additional folders.

To copy messages from a folder in “On My Computer” to a folder in your Exchange mailbox:

  1. Locate and highlight the message(s) you wish to copy.
    1. To select multiple messages, hold the Command key as you click on individual messages.
    2. To select multiple sequential messages, select the first message, scroll to the last message, hold the Shift key, and select the last message.  All messages from the first to the last are highlighted.

  2. Click, drag, and drop the highlighted message(s) into the desired folder.

Check the Progress window to verify that your messages are copying to your Exchange mailbox.  You might need to wait several seconds before any activity appears in the Progress window. 
Depending on the total size of the messages, you might want to check how much space is remaining in your mailbox before copying additional messages.
