As a new employee, you will be asked to complete several forms. We strongly encourage you to complete these documents before your first day of work, since completing the first section of the Immigration Reform and Control Act, I-9 Form, for example, is mandatory before you can begin working. If you fail to complete the I-9 Form before the third day of employment, you may not continue to work until you do so. The Immigration Reform and Control Act requires that we visually inspect the originals of all documents you present as evidence of your eligibility to work in the United States. Photocopies cannot be accepted. If you have questions regarding the required identification for the I-9 form, please call Human Resources at (96)2-6510. Forms are available in the Department of Human Resources in Room 217 of Aquinas Hall on the St. Paul Campus. The paperwork includes:
- I-9
- W-4
- Affirmative Action Sheet and
- New Employee Information Sheet
- PACA form (Privileged Access & Confidentiality Agreement)
Benefits packets are available in the Department of Human Resources in Aquinas Hall, Room 217. In order to receive your benefits packet, you will need to complete your new hire paperwork listed above.The benefit packet includes all benefit forms. Employees who work a minimum of 25 hours per week, or a .625 FTE (full time equivalency) are eligible for benefits. Benefits are effective the first of the month following your first month of employment. If your employment date occurs on the first of the month (e.g., July 1, August 1), your benefits become effective that same day. You have 30 days from your employment date to submit your benefit forms to the Department of Human Resources.
UST Net ID accounts are created once the new hire paperwork is completed or after the hiring manager fills out the New Employee form. To claim your account you will use the claim code provided to you by your hiring manager, select this link http://www.stthomas.edu/new and follow the instructions.
The Information Resources and Technologies website hosts several online tutorials to help you learn how to use many commonly used technologies on campus, including Banner, Outlook and the UST phone system. In order to facilitate your orientation to the university, the staff of the Department of Human Resources schedule orientation sessions for new faculty and staff. The session covers a variety of important topics such as human resources and payroll information, the Sexual Harassment and Sexual Violence Policy, computing infrastructure and resources, University mission, an optional St. Paul campus tour and other services and benefits available to you as a member of the university community. Orientation for new staff members takes place on the third Wednesday of each month, from 9:00 a.m. to 2:30 p.m., in the Leyden Room in Murray Herrick Campus Center. Lunch is provided at the session. Your supervisor will notify you of your scheduled orientation date. Faculty Orientation
Department of Human Resources staff schedules orientation sessions prior to and through the beginning of the fall semester. During the summer but prior to the beginning of the fall semester, new faculty will receive an information packet from Academic Affairs that includes various scheduled events for new faculty, including the dates available for new faculty orientation. You will be asked to RSVP and select your preferred date for orientation. Lunch will be provided at the session.
