Posting a Student Position

Instructions for Posting or Removing a student position:

When hiring a new student employee, the job should be posted on our employment opportunities page for a minimum of five days.  Go to the Talent Management System and login with your UST username and password. When you are logged in check to make sure you are recognized as a Student Manager.  You can do this by looking at the system welcome on the top of your homepage.  If you are not a Student Manager please click on Change User Type in the left hand navigation bar and select Student Manager. Once you have confirmed you are a Student Manager you can create a position From Template and choose Student Position.  Fill in all fields of the Requisition and Recruitment Strategy and click Preview Requisition.  From here you can Send to Human Resources to Post.  Your position will be posted by HR within one business day of submission.  Applicants will apply directly online and will be available in the system.  Positions will be removed from the website 30 days from the posting date. To remove your posting sooner you will log back into the system and click on Close/Remove from Web under the postings status.  Please see the Student Supervisors Guide for further information.

Pay Rates

If you would like a position rated please indicate this in the Comments section of your posting on the Talent Management System. Upon receipt of the posting in Human Resources, student positions will be ranked and a pay rate assigned. Rank is determined by the duties performed and the knowledge, skills, and abilities required for the job. Individual departments and/or supervisors do not have the discretion to determine the rate of pay for any student jobs.

Things to consider

  • Under which program is the student eligible to be paid? College Work Study (Federal/State), UST Student Employment? Programs
  • College Work Study Students should be given priority for all student employment positions. If these students do not find a job they may not be able to cover the full cost of their education at UST. It also benefits UST to hire a student through College Work Study because this program is partially funded through the federal and state government, thereby reducing the cost to UST.
  • Does the department budget support hiring the student? Budget section
  • Using an application. HR has a generic student job application (RTF) available.
  • Respond to applicants. View Example (RTF)
  • The next step is to develop interview questions and conduct interviews. HR can provide some interview tips (PDF).
  • UST is an equal opportunity and affirmative action employer. The same guidelines that apply to faculty and staff also apply to student employees. Please refer to your Student  Employee Handbook for further information.
  • After the job offer has been made and accepted by the applicant, the appropriate forms should be completed as outlined in the Getting a Student Paid section.
  • Once a position has been filled, it is imperative that the job posting be removed immediately. Up-to-date job postings are essential for both the supervisors and the students. Remove a posting.

Changes in a student's job responsibilities

If the responsibilities of a student employee change to the degree that it may merit a promotion, the following steps should be taken:

* Submit a new student job description to the Human Resources department.
* Human Resources will rank the position and inform the supervisor if it merits a pay increase
* In the event of a pay increase, the student and supervisor must submit a new student employment form indicating the effective date for the promotion.

Students will NOT be given pay increases for returning to the same department the following year. The pay rate will be based upon a combination of the responsibilities of the job being performed, the student's qualifications and experience, and the student pay rates in effect at that time.
