New Hire Forms
Prior to your first day of work you will receive an email inviting you to complete new hire forms and tasks via our online onboarding site. You may also need to visit the Human Resources Department to complete the Employment Eligibility Form I-9 which must be done in-person. You will need to provide legally acceptable documents from the List of Acceptable Documents. All documents must be original and unexpired. Photo copies and expired documents cannot be accepted. This will be identified as an onboarding task if applicable. The HR department is located on the St. Paul campus, Aquinas Hall, Room 217. Our office is open Monday through Friday, 8:00 a.m. to 4:30 p.m.

How do I activate my UST Account?
Once you have completed the required online new hire forms, your Form I-9 has been confirmed in the Human Resources office, and your background screen has been processed, then you will be set up in UST' employee system. After your employment record is established you will be sent an email notification with instructions on how to activate your UST email account. Further information about managing your UST account is available on the IRT website located at http://www.stthomas.edu/irt/password.
When is New Employee Orientation?
New employee orientation (NEO) is typically held on the third Wednesday of the month from 9:30 a.m. to 2:00 p.m. You will receive specific information on the date, location, directions, and times of orientation. A continental breakfast and lunch are provided. If you are unable to attend your scheduled NEO, please contact the NEO Coordinator in the Human Resources department at 651-962-6903.
How do I get started with technology?
The Information Resources and Technologies (IRT) website hosts several online tutorials to help you learn how to use many commonly used technologies on campus including Banner, Outlook, and the UST phone system. For additional information, or to access the online tutorials, please visit the IRT web site.
How do I know if I am eligible for benefits?
Generally, a salaried or hourly employee working in a regular position and approved to work a minimum of 25 hours per week or .625 FTE (full time equivalency) is eligible for benefits. Your offer letter will confirm if you are benefits-eligible.
As a benefits-eligible employee, how do I receive benefits information?
If you are benefits-eligible you will receive an email with information regarding your benefits options via the online onboarding site.
Benefits are effective the first of the month following your first month of employment. If your employment start date coincides with the first day of the month (e.g., July 1, August 1), your benefits become effective on that day. You have thirty (30) days from your employment start date to submit your benefit forms to the Human Resources Department. If you have questions about the completion of your benefits forms, contact the Benefits Department at 651-962-6520.
