What is the difference between the Month-End and Interim reports?

The month-end reports can be run at any time and are for the most recently completed month end period. For example, the month-end report accessed on October 15 will include information through September 30. These reports are run automatically for all funds and organization codes for which you are responsible. You do not need to enter any report parameters (as FY, Fd, Org).

 

The interim reports can also be run at any time and show activity through the end of the prior business day. For example, a report run on March 15 will include information through March 14. You will need to enter report parameters as fund and organization to run the interim reports. If information for the current day is needed Murphy on-line Finance is available in real time.

Who has access to ReportNet?

Access to ReportNet is the same as Murphy On-line Finance.  Access is available to assigned Delegates, Budget Managers, Financial Managers and those that have query access to operational or restricted fund indexes. 

 

The compensation report is available only to Financial Managers.  Financial Managers are those individuals that receive yearly budget request forms.

How do I use my index to run these reports?

Budgeted Operations:

Enter your index code which is the same as your organization code.

For some reports, you may be able to enter the organization roll-up code to access multiple organization codes (see next question below)

 

Restricted Funds:

 Enter your index code which is the same as your fund code.

How do I obtain my index?

All funds and organizations (i.e. indexes) which you have acess to are listed in the "Fund/Organization Listing Report". The link to this report is included at the bottom of the main ReportNet page on the Controller's Office website.

Where do I find the “Fxxxxxxx” document # for the Labor Distribution by Document Number Reports?

You can find the Document Number (Fxxxxxxx) by running a budget query in Murphy On-line Finance and drilling down on the salary/wage information.

How can I see a report for all of my organization codes?

In the box where you type your organization code, you are also able to type the organization roll-up.

For example, here is a sample roll-up reporting structure:

503 – Science Division

                        5031 – Anthropology

                                    50310 – Anthropology

                                    50311 – Anthropology Field Trips

In the above example, you can enter 503 to retrieve a report containing all the organization codes under the Science Division, 5031 to retrieve a report containing all the organization codes under Anthropology, or 53011 to retrieve a report containing just Anthropology Field Trips.

How can I run a report for specific accounts codes or account code pools?

This is optional in the Transaction Report for non-compensation pools. In the box that requests the account code simply enter the account code pool or specific account code.

Can I email the reports to other individuals?

Yes, to email the reports, complete the following steps:

1.      Run your report.

2.      Click on the icon that looks like an envelope

3.      Type the email address in the box on the right (if you are sending the report to more than one person you will need to separate the email addresses with a semi-colon).

4.      Select the option to send the report as an attachment.

5.      Click “OK” and the report will be emailed.

How do I convert the report to PDF format?

The “PDF” version can be viewed in one continuous report rather than having to “page down.”  In addition, the whole document will print as one file rather than each page separately. 

 

To convert the report to PDF format you have two options:

 

1. If you would like the report to run in the PDF format all the time you can set this format as the default.

a.       In ReportNet, select Preferences at the top of the page

b.      Under the format drop-down menu, choose PDF

c.       Click OK at the bottom of the page

 

2. If you do not want to set the default in the PDF format you can still view the report in the PDF format by clicking on the icon for PDF format .

What version of Adobe Reader software do I need to print "PDF" files?

Older leased computers, or your home computer, may contain an older version of Adobe Reader software which is used to view "PDF" files. You will need at a minimum version 6.0.3 to ensure that the PDF report is correct. You may determine which version you have by clicking "Start" (at the lower left), "Programs", "Acrobat/Adobe Reader", click "Help" then "About Adobe Reader." Look for the smaller line that reads "Version...".

 

IRT has provided the updated Adobe Reader version 7.0 to most ReportNet users. If you need an updated Adobe Reader version please contact the IRT help desk at 962-6230.

Can I save the PDF file to my computer rather than printing the report?

Yes, once you have run the report click on “Save a Copy”.  When prompted, rename the document and choose where to save it.

How do I print a report in PDF format?

Click the printer icon above the report to the left.

 

Do not click Print under the File menu from the very top-left of the screen.

If I choose the wrong report before running it, how do I get back to the original listing of reports?

At the bottom of the page, instead of clicking on finish to run the report, click on cancel to go back to the list of reports.

How do I run the same report again?

To run the same program again, press the icon in the upper right hand corner.

How do I run a different report?

If you are done with a report and want to run a different one, press the Return button in the upper right hand corner.  You will then be directed to the list of available reports.

How can I navigate within ReportNet to access reports, rather than return to the Controller's Office web page to run a different report?

On the "Cognos Connection" page, to the upper left, the "layers" of folder structure are listed on one line. The layers of the structure are separated by ">"s. You may click to any one of the folders listed to access a different ReportNet program.

How can I have a different report prepared for me?

If you have questions or comments on a particular report or if a report does not fit your departmental needs, requests for additional reports or changes may be made to the Controller’s office using the ReportNet feedback form.   However, requests for changes may not always be able to be met due to limitations within the ReportNet software or existence of a comparable report, but we will do as much as possible to fulfill your needs.

I have an Apple Macintosh (Mac) computer, can I use ReportNet?

You may access ReportNet reports if "Firefox" web browser software is used to access the web-based ReportNet programs. While IRT has provided this software to most Mac users, please contact IRT help desk at 962-6230 if you need Firefox software.

 

At this current date, the Excel version of the ReportNet reports may not be accessible to most Mac users.

Why did I receive an outdated version of a report?

Web based reports are stored in the temporary storage of "cache" of you computer. You may receive an outdated report from the temporary storage rather than the current report. To ensure you receive the most current report, you need to "refresh" this temporary storage by making a onetime change to the Microsoft Internet Explorer software by following these Steps:
